UKIYO Swim School Terms & Conditions

By registering for a UKIYO SWIM SCHOOL class/group & or private/Semi Private lesson, secure my private time-slot, you confirm and agree to the Terms and Conditions set by Anthony Schulz Learn to Swim the Aussie Way, NIP: 1132945175, trading as ‘UKIYO SWIM SCHOOL'.

 

 

Student Entry Fees to our locations 

Student/parent 's are responsible to pay the entry/exit fee to reception.

 

Private lessons & Semi Private lessons

  • A Private lessons is 1 student.

  • A Semi Private lessons is a maximum of 2 students.

  • Parents/students who wish to attend weekly lessons can make a verbal agreement for a specific day/time-slot to be guaranteed just for them on a monthly basis. To receive discounted package rate a minimum of 3 dates are to be secured and are to be paid for in advance. The parent/student accepts that any unused lessons are unavailable to be transferred to the following month.

  • Rescheduled is accepted no less than 24 hours prior to your lesson without charge.

  • Parents/students who wish to book 2 x 30 minute private lessons will be charged at the rate of a 30 minute lesson.

  • Cancellation on the day for any unforeseen reason you agree that the lesson fee will be voided.

  • In unforeseen circumstances that we need to cancel a lesson, we will call you directly to inform you of your lesson being cancelled.

  • In the unusual event we do not contact you, the missed lesson will be credited to your account plus we will credit your profile with another private lesson equal to the  private lesson missed.

  • Siblings in a Semi private lesson are charged the same rate as a private lesson.

  • A semi private lesson with a non sibling is charged at a higher rate.

  • A minimum of 3 lessons must be secured to receive the package discounted rate.

Group lessons

  • Our groups are based on age and ability.

  • We required a minimum number of students in each group duration before that group is accepted for monthly lessons.

  • The minimum number of students are;

  • 30 minute lesson - We require a minimum of 3 students

  • 45 minute lesson - We require a minimum of 5 students

  • 60 minute lesson - We require a minimum of 8 students

  • Groups are available on a month to month basis.

  • Group lesson discounted rate is 65zl per lesson is available when signing up for the month and Ukiyo Swim will add the appropriate packages to your portal for you to pay.

  • New students can sign up for a one off lesson at the rate of 85zl.

Payment Terms 

Ongoing by the Month 

  • All students enrolling in our swim program can pay by cash, bank transfer, Blik, Revolut or via the online portal. 

  • Payments that are completed via cash, bank transfer, Blik or Revolut will require us to manually adjust your portal accordingly.

  • New students in a group may enrol at any time and pay the applicable pro rata for the remainder of that month upfront at the time of booking. They will pay the following month in full no later than  before the first lesson of the month.

  • A Direct Debit can be set up if requested and by doing so you have agreed to Anthony Schulz Learn to Swim the Aussie Way to deduct your monthly fee from you VISA, Master Card or Credit Card for swimming lesson fees. 

  • Your enrolment remains ongoing until you notify via email/your portal of your request to cancel your agreement with us. 

  • Change of bank/credit card details must be made at least 7 days prior to the end of the month.  

  • We reserves the right to refuse a students entry to a lesson if payment has not be made before the lesson.   

  • Invoices are available upon request and are best requested at the time of payment. Any request for a previous payment is not available as our accounts operate on a month to month basis and past receipts have been sent to our accountant. 

Pool closure

  • If the pool is forced to be closed for any unforeseen reasons, any unused lessons will be credited towards future payments and or a refund can be requested no less than 4 weeks after the pool has closed.

Teaching Policies, Procedures & Parental Responsibilities

  • Swimming Teachers will take responsibility for students during their swimming lessons, but parents/guardians are required to remain nearby (poolside viewing or designated viewing area) so that if required the parent/guardian can deal with toilet breaks or any behavioural issues, our staff will NOT take pupils to the toilet.  

  • Parents/guardians must remain on the premises whilst the student is attending their swimming lessons. This is imperative in case of the unlikely event of a medical emergency, building evacuation or other emergencies.

  • Students must be collected promptly at the end of the lesson. 

  • Lessons start on the agreed time slot that is reserved on the booking platform. Student/parents are advised to arrive on poolside 5 minutes before their lesson.

  • Students in a group lesson can be refused entry to the lesson if they are more than 5 minutes late for a class, as it disrupts the lesson for the other pupils. 

  • Parents/students accept full responsibility for late arrival to any type of lesson and credits/refunds and or an extension of the lesson is unavailable.

 

Swimming Lesson Dress Code & Hygiene

  • All children should wear appropriate fitting costumes/trunks specifically designed for swimming.

  • No jewellery should be worn during a swimming lesson. Religious or medical bracelets are allowed but should not distract the swimmer from their lesson.  

  • The use of goggles is permitted but students may be asked to remove them when performing certain skills (unless there is a medical reason for goggles to be worn).

  • All students should shower before their lesson. Please ensure that all hair gel/body lotions etc. are removed. This will help to keep the water clean.

  • Make sure your child uses the toilet before the lesson commences.

  • Please ensure your child showers after the lesson.

Student Progression

  • All students work towards the "UKIYO Swim School development programme”.

  • Swimming Teachers continually assess all students progression throughout each month.  

  • Progression of all students will be at the judgment of the swimming teacher supervisor and in accordance with the progression within the criteria of the "UKIYO Swim School development programme"  

  • Students will be moved up to the next class when they meet the skills criteria required and if there is adequate room in the next level for movement to the next level.  

  • Upon completion of a level, the parent/guardian will be contacted explaining that the child is ready to move up to the next level.  

  • Due to the continuous progressive nature of our programme, and the variety of ability levels within each session, we cannot guarantee a specific time slot on progression, as space within the next stage may not always be immediately available.  

Video & Picture Consent

  • We may use a mobile phone or other video recording devices to assist students in understanding their technique.

  • We may ask to use a video or picture on social media platforms. 

  • We will always ask for  the student/parent a consent before adding any video or pictures to our social media platforms and or webpage.

  • Upon student/parental agreement Anthony Schulz Learn to Swim the Aussie Way trading as Ukiyo Swim School has the rights to use a video or picture on social media associated only with UKIYO Swim School.

  • Student/parents have the right to request at any time for a picture relating to them specifically to be removed and deleted from UKIYO Swim School database permanently. We will always abide by student/parental requests of removing/deleting a video or pictures relating to them specifically. 

Changing lesson time-slot

  • Students/parents may request a change of day/time-slot or Swimming Teacher and we will try to accommodate your request, provided space is available and or the requested time-slot is available.

  • Swimming ability and speed of progression will vary depending upon the swimmer. Some students just need more practise.

  • In the event of a pool closure, we will make every attempt to contact our students/parents as soon as possible.  

  • Customers paying for swimming lessons will be provided with a catch-up lesson to replace the unforeseen missed lesson.

  • In the event of a planned pool closure, the student/parent will be offered an alternative day/class or credit to the next booking.

  • Ukiyo Swim School reserves the right to cancel classes should number of students fall below our minimum numbers per group. If this happens the class may be cancelled or the student/parent will be offered an alternative lesson of the same level. 

School term breaks & holidays & Intensive programmes

  • Public Schools & International Schools in Warsaw have different dates for school terms. Group lessons dates will be adjusted accordingly to suit the majority of students within the group and Ukiyo Swim School may offer an intensive swim programme instead of the regular group time-slot during the school holidays for parents/students who stay in Warsaw during the School holidays.

Changing Teacher

  • We will use reasonable endeavours to provide the same instructor for each lesson within a course. However, relief instructors may be used without prior notification. 

  • We reserve the right to appoint a new teacher at any time and may, at times need to provide an alternative teacher for a class or classes due to illness or for any other unforeseen circumstances.  

  • In the event a teacher is away for a long period of time we will try to keep the same cover teacher for the time period where possible.  

  • If a teacher is absent, UKIYO Swim School reserves the right to join classes together if considered appropriate. We would always try to put a replacement teacher in place immediately however, if this is not manageable, we would put the classes together in order to avoid the cancellation. This would be an extremely rare occurrence as additional teachers are usually available to cover any such eventualities.  

 

Communication

  • Questions regarding the progression of students should be directed towards Anthony Schulz via enquiry@ukiyoswimschool.com.pl  

  • All Students/parents/guardians are required to supply UKIYO Swim School with a valid e-mail address/mobile number for quick communication purposes. This is essential so that we can inform you when your child is ready to move up a level of lessons and or to inform you of any changes to the programme.

  • Students/parents/guardians have the right to request any information obtained by UKIYO Swim School to be deleted.

 

Viewing

  • Parents/guardians are not permitted on poolside at Wodny Park must sit either on the seats next to the 50m pool or behind the glass next to reception. In coming to Wodny Park Parents/guardians understand it is a drop-off and pick up only.

  • Parents who's child attends Pr1me lessons may view on pools side, however, parents must not interfere with the lessons or distract the swimming teachers. 

  • We do ask that all spectators remain in the seating area in order to prevent any unnecessary distractions for the teachers and make every effort to ensure that all parents/guardians abide by the pool dress rules. 

  • It is difficult for the teaching staff to gain full attention from their pupils if they are being distracted; progress can be affected if children are not fully able to concentrate.  

  • No photography or filming is permitted on poolside or in the changing area without the prior approval from the Centre Management that the lessons are being conducted at.

 

Behaviour & conduct

  • Parents accept that their child is under the supervision, control and care of the swimming teacher, during the lesson period. Should the behaviour of the child be unsatisfactory and the class is being disrupted, the swimming teacher has the right to remove the pupil from the class.  

  • The teacher may employ reasonable measures as are necessary to maintain the smooth delivery of the class. We reserve the right to request that your child should be removed from classes should they persistently disrupt or are seen to be putting themselves or anyone else at risk during the class. If a child is removed under these circumstances and suitable alternatives arrangements cannot be made, a refund will be provided.

  • Once a lesson has finished, if the child wishes to spend extra time in the pool, it is important an adult must be in the water at all times with the child. If the parent is not swimming, the child must leave the pool area once their lesson has finished. 

  • If a swim student causes the cancellation of a swim lessons or individual class (such as accidentally defecates) , we reserve the right to apply a penalty for loss of income for this activity. This will be administered and applied by UKIYO Swim School administration.

 

Changes to Terms & Conditions 

  • We reserve the right to update our Terms & Conditions by sending students/parents the new versions via email.

  • Students/parents must notify us in writing via email of any non-acceptance within 14 days of the new Terms & Conditions. 

  • If there is no notice of non-acceptance, students/parents will be subject to the updated Terms & Conditions. 

  • Refusing to accept the Terms & Conditions will result in the termination with Anthony Schulz Learn to Swim the Aussie Way, trading as Ukiyo Swim School.
