Reservation Agreement
Terms and Conditions
Ukiyo Swim School provides organised swimming lessons through Private Lessons, Semi-Private Lessons and Group Lessons.
We provide two Reservation options:
Weekly Advance — a regular weekly Reservation with priority when planning the following month.
Selected Date — an individual Reservation from suitable remaining availability.
When a Student is unable to attend an Active Reservation, Ukiyo offers clear Continued Learning options.
These are separate new Reservations, subject to suitable availability and the applicable fee.
They do not move, transfer or credit the missed Reservation.
What you pay for: Each Reservation Fee pays for one specific confirmed teaching place for the named Student, on the confirmed date and time.
It does not purchase a transferable lesson, flexible credit or future attendance on another date.
Two Reservation statuses are used throughout this Agreement:
Waitlist = not reserved.
Active Reservation = confirmed and secured.
Drop = notice that the Account Holder does not wish to continue Weekly Advance for the following calendar month. A Drop does not cancel, change or refund any Active Reservation in the current month.
A Drop ends the Student’s regular Weekly Advance arrangement for the whole following calendar month. It cannot be used to remove one individual following-month date.
A known absence on one date must be requested through a Holding Reservation.
Known absence = a date in the following calendar month that the Account Holder already knows the Student cannot attend. A Known Absence may be considered only through the Holding Reservation rules.
Account Holder = the Parent, guardian or adult responsible for the Student’s Reservations, payments and communication with Ukiyo.
Same-level Group = a Group that Ukiyo determines is suitable for the Student’s current swimming knowledge, safety and development. It may be at a different day, time or with a different Instructor from the missed Reservation.
1. Reservations & Payment
1.1 Reservation Status
A requested Private, Semi-Private or Group time slot remains on the Waitlist until the required payment has been received and Ukiyo confirms the Reservation.
A Waitlist place is not secured and does not permit attendance.
Once payment has been received and Ukiyo confirms the Reservation, the Student has an Active Reservation.
Only an Active Reservation permits attendance.
The Parent Portal is Ukiyo’s official record of Active Reservations, Reservation Fees, payments and approved changes.
A message, request, proposed date or payment screenshot does not by itself create, change or confirm a Reservation.
If a Reservation is not shown as Active in the Parent Portal, it is not scheduled for attendance.
Ukiyo’s teaching schedule is internal and is not publicly available.
Parents may request a preferred lesson type, date and time directly from Ukiyo. Ukiyo will then confirm whether a suitable Reservation is available.
1.2 Payment
Payment is required to secure an Active Reservation.
The applicable Reservation Fee is determined by the Reservation option, lesson type and lesson duration, as published on Ukiyo’s Fees page.
The applicable fee must be agreed before payment and confirmation.
An unpaid Waitlist place may be released.
Where payment is made by bank transfer, BLIK, Revolut or another agreed transfer method, the Account Holder should message Ukiyo after making payment so the Reservation can be updated.
Cash payment on the day is available only where agreed directly with Ukiyo in advance.
An intention to pay on arrival does not create an Active Reservation.
1.3 Communication Hours
Ukiyo handles Reservation-related communication between 09:00 and 17:00.
Messages received after 17:00 are treated as received the following day.
This applies to Reservation requests, monthly planning, Drops, absence notices, Holding Reservations, Continued Learning requests and other Reservation-related communication.
Messages may be sent outside these hours but are not reviewed or actioned until communication hours reopen.
Absence notices, Holding Reservation requests, Continued Learning requests, Changes and Drops must be sent directly to Ukiyo. Wodny Park reception cannot receive, approve or pass on these requests.
Where this Agreement requires advance notice, including the 48-hour Selected-Date and Continued Learning request rules, the notice period is measured from when Ukiyo treats the message as received under this Section.
For example, a request for a Sunday Selected-Date or Continued Learning Reservation must be received by Ukiyo no later than Friday during communication hours.
2. Reservation Pathways
2.1 Weekly Advance
Weekly Advance reserves the same Student on the same regular day and time for each available weekly date in the calendar month.
Weekly Advance is available for:
-
Private Reservations;
-
Semi-Private Reservations; and
-
Group Reservations.
Each confirmed weekly date is a separate Active Reservation and has its own Reservation Fee.
Weekly Advance continues automatically into the following calendar month unless the Account Holder sends Ukiyo a Drop by 17:00 on the 23rd.
A Holding Reservation request may be made by 17:00 on the 23rd for a known absence on a specific following-month date.
A Holding Reservation affects only that requested date; Weekly Advance continues automatically for all other available weekly dates.
If Ukiyo does not receive a Drop by this deadline, the Student is automatically reserved at their regular Weekly Advance day and time for every available weekly date in the following calendar month, subject to any Holding Reservation Ukiyo confirms.
Those following-month Reservations become Active once payment is received and Ukiyo confirms the monthly plan in the Parent Portal.
Where Weekly Advance continues for the following month, the Student’s regular day and time is reserved for every available weekly date in that calendar month, subject to any Holding Reservation Ukiyo confirms.
The full monthly Reservation Fees for those dates are payable, including any date the Student later does not attend.
Drops and Holding Reservation requests for the following month must be received by Ukiyo by 17:00 on the 23rd.
From the 1st, the confirmed monthly plan is fixed.
2.2 Selected Date
Selected-Date Reservations are made from suitable remaining availability from the 1st of each calendar month.
Selected Date is available for:
-
Private Reservations; and
-
Group Reservations, where the Group is suitable for the Student.

Selected Date is not available for Semi-Private Reservations.
A Selected-Date request must be made at least 48 hours before attendance.
A Selected-Date Reservation does not protect a regular weekly place, following-month priority or preferred Instructor.
Each Selected-Date Reservation stands alone.
Once Active, the Private Reservation or Group Reservation is fixed.
2.3 Private Lessons
A Private Lesson is for one Student.
A Private Reservation secures the confirmed Private Lesson date and time for that Student.
Ukiyo may recommend Private Lessons to establish the Student’s swimming foundation before progressing to suitable Group Lessons.
2.4 Semi-Private Lessons
A Semi-Private Lesson is for two named Students.
Semi-Private Reservations are available through Weekly Advance only.
Both named Students share the same regular Semi-Private Reservation day and time.
If one named Student is absent from an Active Semi‑Private Reservation during the confirmed month, the other named Student may attend alone.
The Reservation remains a Semi-Private Reservation.
It does not convert into a Private Reservation and no additional Private Reservation Fee is charged.
Following-month absences are planned separately through the Holding Reservation rules in Section 3.3.
2.5 Group Lessons
A Group Lesson is for three or more suitably placed Students.
A Group Reservation is created only when at least three suitable Students commit to the same planned Group day, time and duration.
Where a Group cannot be formed, Ukiyo will advise the Account Holder of the appropriate next learning pathway.
A Group Reservation is created only where the Group is suitable for the Student’s swimming knowledge and development.
Ukiyo determines suitable Group placement according to swimming knowledge, safety and long-term development.
2.6 Learning Pathway & Assessment
Where the Student’s swimming level is already known to Ukiyo, Ukiyo may offer a suitable Group Reservation directly.
The Reservation becomes Active only after the Account Holder agrees, payment is received and Ukiyo confirms it.
Where the Student’s swimming level is not known, Ukiyo may require an Instructor Assessment before creating a Group Reservation.
Following the Assessment, Ukiyo provides a clear learning pathway:
Private Lessons → Group Lessons
or
Direct Group Placement
The Assessment Fee is 100 PLN.
An Assessment is a separate Reservation and must be confirmed and paid before attendance.
If the Student joins a planned Weekly Advance Group within 30 days, 50 PLN is credited toward the Student’s first Weekly Advance Group Reservation Fee.
This credit applies only to that first Weekly Advance Group Reservation Fee. It is not refundable, transferable or available for Private, Semi‑Private or Selected‑Date Reservations.
3. Planning & Changes
3.1 Active Reservations Are Fixed
An Active Private, Semi-Private or Group Reservation is a fixed place in Ukiyo’s teaching schedule.
Once Active, the Student, date, time, lesson type, duration and Reservation Fee are fixed.
For Weekly Advance Private, Semi-Private and Group Reservations, the confirmed monthly plan is fixed from the 1st.
Changes in personal plans or availability do not change an Active Reservation.
A different Private, Semi-Private or Group attendance opportunity requires a separate Reservation under the applicable rules.
The original Active Reservation does not move.
3.2 Following-Month Planning
Weekly Advance Private, Semi-Private and Group Students continue automatically into the following calendar month at their regular Weekly Advance day and time unless the Account Holder sends Ukiyo a Drop by 17:00 on the 23rd.
A Holding Reservation request may be made by 17:00 on the 23rd for a known absence on a specific following-month date.
A Holding Reservation affects only the confirmed held date. Weekly Advance continues automatically for all other available weekly dates.
If Ukiyo does not receive a Drop by this deadline, the Student is automatically reserved for every available weekly date at their regular Weekly Advance day and time in the following calendar month, subject to any Holding Reservation Ukiyo confirms.
A known absence in the following month can be handled only through a Holding Reservation under Section 3.3.
From the 1st, payment is required for the confirmed Active Reservations before the Student’s first lesson of that month.
From the 1st, the confirmed monthly plan is fixed. The confirmed day, time, lesson type, duration and Reservation Fee cannot be changed during that month.
3.3 Holding Reservations
Holding Reservations are available only to continuing Weekly Advance Private, Semi-Private and Group Students for known absences in the following month.
Ukiyo may offer the held date to another suitable Student.
The Holding Reservation protects the Student’s priority toward their regular Weekly Advance place in following-month planning; it does not reserve attendance on the held date.
A Holding Reservation is not attendance, credit or payment toward another Private, Semi-Private or Group Reservation.
Holding requests must be received by 17:00 on the 23rd.
A Holding Reservation is confirmed only when Ukiyo confirms the arrangement. A request by itself does not create a Holding Reservation.
3.3A Private Reservation
A Weekly Advance Private Student may hold their regular Private place for 50 PLN per held date.
3.3B Group Reservation
A Weekly Advance Group Student may hold their regular Group place for 50 PLN per held date.
Semi-Private Reservation — One Student Absent
Where one named Student has a known absence for a date in the following calendar month, the Semi-Private Reservation does not operate on that date.
The absent Student may hold their named Semi-Private place for 50 PLN per held date.
The attending Student may separately reserve the same date and time as a Private Reservation at the applicable Weekly Advance Private Reservation Fee.
This arrangement must be agreed before the month begins.
This date-by-date arrangement does not change the continuing Semi-Private Weekly Advance agreement for following-month planning.
Once the 23rd deadline has passed, the arrangement for that date is fixed and cannot be changed because either family’s plans later change.
Semi-Private Reservation — Both Students Absent
Each named Student may hold their Semi-Private place for 25 PLN per held date.
Where the two named Students have different Account Holders, both Account Holders must agree to the Holding Reservation arrangement before Ukiyo confirms it.
Returning to a Held Date
Once the monthly arrangement is confirmed, it is fixed.
If one Semi-Private Student holds and the other Student reserves a Private Reservation, that Private Reservation does not convert back into a Semi-Private Reservation if the absent Student later becomes available.
The Account Holder may ask whether a held place remains available.
If it remains available, a separate Reservation may be requested at the applicable Reservation Fee.
The Holding Fee is not transferred, credited or deducted from another Reservation Fee.
3.4 Private Reservation Substitution
An Active Private Reservation may be attended by the Account Holder, a sibling or a friend instead of the original Student.
Ukiyo must be informed at least 24 hours before attendance.
The replacement Student must be suitable and approved by Ukiyo.
The Private Reservation date and time remain unchanged.
This substitution rule applies to Private Reservations only.
4. When Life Happens
4.1 Student Absence
If a Student cannot attend an Active Private, Semi-Private or Group Reservation, the Account Holder should inform Ukiyo.
Ukiyo may release the Student’s place and provide it to another suitable Student.
The original Private, Semi-Private or Group Reservation remains used and payable.
Notice of absence does not:
-
move the original Reservation;
-
transfer the Reservation Fee;
-
create credit;
-
create a refund; or
-
create a make-up lesson.
4.2 Continued Learning
Continued Learning is not automatic. It is available only where the applicable pathway below is requested, suitable availability exists and Ukiyo confirms a new Active Reservation.
Continued Learning provides another swimming opportunity after a missed Active Private, Semi-Private or Group Reservation.
A Continued Learning Reservation is a new and separate Reservation on another suitable date and time.
In simple terms, Continued Learning is an optional new attendance opportunity after an absence. It is not the original Reservation moved to another date.
It is not a make-up lesson, reschedule, replacement, transfer or credit.
The original Private, Semi-Private or Group Reservation remains used and payable.
A Continued Learning Reservation must be:
-
requested and confirmed as an Active Reservation within 14 days of the missed Reservation;
-
requested at least 48 hours before the requested attendance;
-
subject to suitable availability; and
-
confirmed as an Active Reservation before attendance.
4.3 Weekly Advance — Private Continued Learning
After a missed Weekly Advance Private Reservation, the Student may request either:
-
one suitable same-level Group Reservation at no additional fee; or
-
one new Private Reservation for 50 PLN.
4.4 Weekly Advance — Semi-Private Continued Learning
After a missed Weekly Advance Semi-Private Reservation:
-
each original Student may request one suitable same-level Group Reservation at no additional fee;
-
both original Students may request one new Semi-Private Reservation together for 100 PLN total — 50 PLN per Student; or
-
either original Student may request one new Private Reservation for 100 PLN.
For one missed Semi‑Private Reservation, each original Student may use one Continued Learning option only.
The two original Students do not have to choose the same Continued Learning pathway.
4.5 Weekly Advance — Group Continued Learning
After a missed Weekly Advance Group Reservation, the Student may request one suitable same-level Group Reservation at no additional fee.
Where no suitable Group Reservation is available, the Student may request one new Private Reservation for 100 PLN.
The Group-to-Private Continued Learning option may be used once per calendar month.
For one missed Group Reservation, the Student uses either the Group Reservation option or the Private Reservation option.
4.6 Selected-Date — Private Continued Learning
After a missed Selected-Date Private Reservation, the Student may request:
-
one suitable same-level Group Reservation at no additional fee; or
-
one new Private Reservation for 100 PLN.
4.7 Selected-Date — Group Continued Learning
After a missed Selected-Date Group Reservation, the Student may request:
-
one suitable same-level Group Reservation at no additional fee; or
-
one new Private Reservation for 100 PLN.
Selected-Date Semi-Private Continued Learning does not apply because Semi-Private Reservations are not available through Selected Date.
4.8 When Ukiyo Cannot Provide an Active Reservation
Where Ukiyo cannot provide an Active Private, Semi-Private or Group Reservation because of Instructor absence, pool closure or another Ukiyo-related reason, Ukiyo takes responsibility for the affected Reservation.
Ukiyo will offer a suitable no-fee new Reservation. Where Ukiyo cannot provide a suitable no-fee new Reservation, Ukiyo will provide a bank-transfer refund for the affected Reservation.
This rule is separate from a Student absence.
5. Attendance & Wodny Park
5.1 Instructor Assignments
A requested Instructor is not guaranteed for a Private, Semi-Private or Group Reservation.
Ukiyo may assign another suitable Instructor where necessary.
A change of Instructor does not change the Active Private, Semi-Private or Group Reservation.
5.2 Lesson Times
Teaching begins and ends at the confirmed Active Reservation time.
Late arrival does not extend a Private, Semi-Private or Group Lesson.
Students should arrive with enough time to change and be ready for the confirmed lesson time.
5.3 Student Entry Ticket
Each Active Private, Semi-Private or Group Reservation includes a 75-minute Wodny Park entry ticket for the Student.
For a 30-minute Lesson, the ticket includes:

30 minutes of teaching; and
-
45 minutes for changing and facility entry and exit.
For a 45-minute Lesson, the ticket includes:
-
45 minutes of teaching; and
-
30 minutes for changing and facility entry and exit.
The total permitted Student entry period is 75 minutes.
Where the permitted time is exceeded, Wodny Park may charge an exit fee.
Any such fee is determined and collected by Wodny Park and is not an Ukiyo Reservation Fee.
5.4 Parent Wristband
A Parent assisting their child with changing before a Private, Semi-Private or Group Lesson may receive a 20-minute Parent wristband from reception.
The wristband is for assistance before the Lesson only.
It is separate from the Student’s 75-minute entry ticket.
Reception does not issue a Parent wristband for collection after the Lesson.
5.5 Reception
Reception provides venue entry only.
Before travelling to Wodny Park, the Account Holder must check that the Student’s Reservation is shown as Active in the Parent Portal. Reception cannot admit a Student whose Reservation is not Active.
For entry, provide:
-
Ukiyo Swim School;
-
the Active Reservation time; and
-
the Instructor’s name.
Reception checks that the Student has an Active Reservation for entry.
Reception issues the Ukiyo entry ticket only for an Active Reservation.
Reception does not create or change Private, Semi-Private or Group Reservations and does not manage payments, absences, Holding Reservations or Continued Learning.
All Reservation matters are handled directly by Ukiyo.
5.6 Safety & Behaviour
Students must not attend a Private, Semi-Private or Group Lesson where they have a contagious illness or where swimming participation may be unsafe.
The Account Holder must tell Ukiyo about the Student’s known medical conditions and any relevant change that may affect safe swimming participation.
Students, Parents and guardians must follow Instructor safety directions and behave safely and respectfully.
Unsafe, seriously disruptive or inappropriate behaviour may result in a warning, suspension of future Reservations or termination of the arrangement where appropriate.
6. General Terms
6.1 Intensive Courses
An Intensive Course consists of five Reservations on five consecutive calendar dates.
The applicable Reservation will clearly identify whether each Lesson is a Private Lesson, Semi-Private Lesson or Group Lesson.
Once Active, the five-day plan is fixed, subject to mandatory consumer rights.
A Student absence from an Intensive Course does not move, transfer, credit or replace the affected Reservation.
Continued Learning does not apply to Intensive Course Reservations.
Where Ukiyo cannot provide an Active Intensive Course Reservation, Section 4.8 applies.
6.2 Privacy
Ukiyo processes personal information required for Reservations, payments, Student safety, communication and legal business obligations in accordance with applicable data-protection law.
Separate consent will be obtained where required for photographs or videos used for marketing.
6.3 Consumer Rights & Polish Law
These Terms are governed by the laws of the Republic of Poland.
Nothing in these Terms limits or excludes mandatory consumer rights under applicable Polish or European law.
6.4 Updates to These Terms
Ukiyo may update these Terms and Conditions for future Reservations.
Where a change materially affects future Reservations, reasonable notice will be provided.
An update does not retrospectively change an existing Active Private, Semi-Private or Group Reservation unless required by law or agreed with the Account Holder.
