Terms and Conditions

01 Welcome to Ukiyo

1.1 Our Reservation Agreement

Ukiyo provides structured swimming education through planned Reservations, not casual lesson bookings. This Agreement explains how Reservations are created, confirmed, managed, paid for and delivered.

These Terms apply whenever an Account Holder creates or maintains a Parent Portal account, requests or accepts a Reservation, pays a Reservation Fee, or a Student attends a Ukiyo lesson.

1.2 Our Educational Philosophy

Swimming development is built through confidence, safety, knowledge and consistent education.

Ukiyo provides three learning environments:

  • Private Lessons — one Student and one Instructor.

  • Semi-Private Lessons — two Students and one Instructor.

  • Group Lessons — three or more Students and one Instructor.

Ukiyo places Students according to their educational needs and long-term development.

02 The Ukiyo Reservation Principles

Principle 1 — Every Reservation Belongs to One Student

Every confirmed Reservation belongs to one named Student. It is not transferable credit or an open lesson balance.

Principle 2 — Every Reservation Is Fixed

Each lesson Reservation is fixed to:

  • one Student;

  • one date;

  • one time;

  • one lesson type; and

  • one lesson place.

Principle 3 — The Original Reservation Remains Used

If a Student cannot attend, the original Reservation remains used and payable. It is not cancelled.

Principle 4 — Future Attendance Is a New Reservation

Any later attendance is a separate New Reservation. It is never a transfer, make-up, replacement, extension or continuation of the original Reservation.

Principle 5 — The Parent Portal Is the Single Source of Truth

The Parent Portal is Ukiyo’s official record of Reservations, Holding Reservations, Reservation Fees, Payments, attendance and approved changes.

A conversation, message or request does not create or amend a Reservation. If it is not confirmed in the Parent Portal, it is not scheduled.

03 Key Definitions

Account Holder
The person responsible for the Student’s Parent Portal account, Reservations, Payments and communication. An adult Student may be their own Account Holder.

Student
The person receiving swimming instruction.

Reservation
A confirmed lesson for one Student, on one date, at one time, for one lesson type and lesson place.

Reservation Fee
The financial obligation created when a Reservation is confirmed.

Payment
The settlement of a Reservation Fee by the Account Holder.

Weekly Advance Reservation
A monthly arrangement for the same regular day and time. It creates one confirmed Reservation for each weekly date in that calendar month.

Selected-Date Reservation
An individual Reservation from remaining suitable availability. It does not protect a regular weekly place or planning priority.

Holding Reservation
A confirmed record that protects a continuing Weekly Advance Student’s priority in following-month planning for a known absence. It is not attendance, a lesson, credit or replacement Reservation.

Future Absence
Notice that a Student will not attend a future confirmed Reservation. The lesson place is released, but the original Reservation remains used and payable.

Drop Request
A written request to discontinue a Weekly Advance Reservation from a future month.

04 Educational Services

4.1 Educational Placement

Ukiyo determines the most suitable lesson type, duration, level, pool location, Group placement and Instructor according to the Student’s educational readiness, safety and long-term development.

Requests for a particular Instructor, pool or Group are welcome, but are not guaranteed. Ukiyo guarantees suitably qualified teaching within its educational pathway.

4.2 Private Lessons

Private Lessons provide one Student with one Instructor for 30 or 45 minutes. They are suitable for all ages and abilities and provide the foundation for individual development.

4.3 Semi-Private Lessons

Semi-Private Lessons provide two Students with one Instructor for 30 or 45 minutes.

Both Students should have similar swimming knowledge, confidence and educational readiness. Ukiyo may recommend another arrangement if their learning needs are no longer suitably matched.

4.4 Group Lessons

Group Lessons provide structured swimming education for three or more Students with one Instructor.

Ukiyo plans and manages Groups according to educational level, lesson duration, pool location, safety, teaching requirements and capacity. Group composition remains Ukiyo’s decision.

A Group requires three or more Students to be created. If Ukiyo can no longer provide the confirmed Group service, it may offer a suitable Group, Semi-Private or Private alternative; if no suitable alternative is accepted, Section 10 applies.

4.5 Assessments

Ukiyo may recommend an Assessment to determine the Student’s current swimming knowledge and most appropriate pathway. Non-swimmers may be placed directly where Ukiyo considers this suitable. The applicable Assessment Fee is in Section 8.4.

05 The Parent Portal

5.1 Confirmation

A Reservation exists only when it appears in the Parent Portal. Families must check the Portal after making a request or receiving an approved change.

5.2 Requests

Requests may be made through the Parent Portal, WhatsApp, text message, email or telephone.

A request is not a Reservation. It becomes a Reservation only when Ukiyo approves it and it appears in the Parent Portal.

Every request must state the Student’s name and the exact requested date, day and time. Generic availability requests may be returned for those details.

5.3 Changes

An approved change is effective only when it appears in the Parent Portal. Until then, the original Reservation remains unchanged.

5.4 Administration

Administration operates from 09:00 to 17:00. Messages outside these hours are handled in the next available administration period.

06 Reservation Types

6.1 Weekly Advance Reservations

A Weekly Advance Reservation provides the same regular day and time each week throughout the calendar month.

It receives planning priority and continues monthly unless an approved change or Drop Request takes effect.

Each weekly occurrence is a separate Reservation and Fee. A month with five occurrences has five Weekly Advance Reservation Fees.

A Drop Request or Weekly Advance change must be submitted in writing by the deadline in Section 7.1. It takes effect only when confirmed in the Parent Portal. Until then, the existing Reservations remain confirmed and payable. After a place is dropped, a later return is subject to suitable availability and does not restore the former place or priority.

6.2 Selected-Date Reservations

A Selected-Date Reservation is an individual Reservation from remaining suitable availability.

It does not protect a regular weekly place, a preferred Instructor, future planning priority or Weekly Advance pricing.

Selected-Date availability opens at 09:00 on the 1st of the relevant calendar month. Requests should normally be made at least 48 hours before the lesson; same-day Reservations are not offered. A Selected-Date request made before availability opens does not hold a place.

6.3 Holding Reservations

Holding Reservations are available to continuing Weekly Advance Students with a known absence in the following month. They must be requested by 17:00 on the 23rd and cost 50 PLN per held date.

A Holding Reservation does not reserve attendance on the absent date. That date may be offered to another suitable Student.

It protects the Student’s priority toward their regular Weekly Advance place during following-month planning, before new Weekly Advance requests. It does not guarantee a named Instructor, pool or exact place.

If the Student later wishes to attend on a held date, they must create a new Selected-Date Reservation. The Holding Fee is not deducted or credited.

07 Monthly Planning

7.1 By 17:00 on the 23rd

By 17:00 on the 23rd, Account Holders must submit following-calendar-month requests for:

  • Weekly Advance changes;

  • Drop Requests;

  • Holding Reservations; and

  • other planning requests.

Late requests may be considered only if planning has not been completed.

Ukiyo will confirm the outcome in the Parent Portal. Until then, the existing Reservation remains unchanged.

7.2 From the 24th Until Month End

Ukiyo prepares the following month in this order:

  1. Continuing Weekly Advance Reservations.

  2. Confirmed Holding Reservations, which are considered before new Weekly Advance requests.

  3. New Weekly Advance Reservations.

  4. Selected-Date Reservations.

7.3 The First Day of Each Month

On the 1st:

  • Payment for active Weekly Advance Reservation Fees becomes due.

  • Remaining suitable availability opens for Selected-Date Reservations.

  • Families should check the Parent Portal for their Reservation schedule, fees and Payment due dates.

08 Payments & Fees

8.1 Reservation Fees and Payments

Every confirmed lesson Reservation, and every confirmed Holding Reservation, creates the applicable Reservation Fee.

A Reservation Fee may appear in the Parent Portal before Payment is due. Every Reservation Fee must be paid by its published due date and, in every case, before the Student arrives at the pool.

Payment settles the financial obligation. It does not create credit, transferable lessons or future attendance rights.

The approved payment method and payment reference are shown in the Parent Portal or payment request. Wodny Park reception does not accept lesson payments or create Reservations.

8.2 Weekly Advance Reservations

Weekly Advance Reservation Fees are created when Reservations are created or renewed during monthly planning.

Payment becomes due on the 1st of each month. Unless Ukiyo agrees otherwise in writing, Payment must be completed before 17:00 on the 1st and before pool attendance. Ukiyo may release an unpaid Reservation.

8.3 Selected-Date Reservations

Selected-Date Reservation Fees are created when the Reservation is confirmed. The Payment due date appears in the Parent Portal and must be met before attendance. Ukiyo may release an unpaid Reservation.

An Assessment Fee is credited towards the Student’s first confirmed Private, Semi-Private or Group Reservation created within 30 days of the Assessment.

A Holding Reservation Fee is not attendance, credit or a deduction from any future Reservation Fee.

8.5 Faktura

A Faktura should be requested before or at the time of Payment. It records Payment only; it does not create, amend or cancel a Reservation.

09 Absences & New Reservations

9.1 Future Absence

If a Student cannot attend for any reason, including illness, a change of plans or a Selected-Date cancellation, the Account Holder must notify Ukiyo as soon as reasonably possible. A no-show is an absence without notice.

The lesson place is released to the Ukiyo community. The original Reservation remains used and payable. An absence does not create a refund, credit, transfer, extension or replacement lesson.

9.2 New Reservations

Any later attendance must be a New Reservation. It requires suitable availability, educational suitability, the applicable route and Fee in this Section and Parent Portal confirmation.

Unless stated otherwise below, it must be the same duration as the missed Reservation. Ukiyo may offer a shorter duration where only that option is available; a shorter missed Reservation cannot be exchanged for a longer one.

A Private Reservation may be attended by a substitute Student only with Ukiyo’s advance approval and Parent Portal confirmation. The original Account Holder remains responsible for the original Reservation and Fee.

 

Substitution is not available for Semi-Private or Group Reservations unless Ukiyo confirms it in writing.

9.3 Private Lessons

Following a missed Weekly Advance Private Reservation, a Student may request one Additional Practice Private Reservation at 50 PLN.

Following a missed Selected-Date Private Reservation, a Student may request one New Private Reservation at 100 PLN.

Each is subject to suitable availability, must be confirmed in the Parent Portal and is normally requested within 14 days of the missed Reservation.

9.4 Semi-Private Lessons

Following a missed Semi-Private Reservation, the two original Students may attend a New Semi-Private Reservation together at 50 PLN per Student, or one original Student may attend a New Private Reservation at 100 PLN.

Each is subject to suitable availability, must be confirmed in the Parent Portal and is normally requested within 14 days of the missed Reservation. No substitute Student may replace either original Student in this route.

The original Reservation remains used and payable.

9.5 Group Lessons

Following a missed Group Reservation, a Student may request a same-level Group New Reservation, other than their Home Group, within 14 days at no additional fee.

If suitable Group availability is not available, the Student may request one New Private Reservation at 100 PLN per calendar month.

Each route is subject to educational suitability, availability and Parent Portal confirmation.

9.6 Goodwill Group Opportunity

Following a missed Private or Semi-Private Reservation, Ukiyo may offer a suitable same-level Group Lesson at no additional fee.

This is subject to availability, educational suitability, Parent Portal confirmation and Ukiyo’s discretion. It is not a guarantee, entitlement, replacement lesson or contractual right.

9.7 New Reservation Becomes Fixed

Once a New Reservation is confirmed, it becomes its own fixed Reservation and follows these Terms independently.

10 When Ukiyo Cannot Provide the Service

10.1 Instructor Absence

Ukiyo may provide a suitably qualified substitute Instructor. If that is not possible, Ukiyo will offer a no-fee New Reservation or bank-transfer refund.

10.2 Instructor Delay

If Ukiyo cannot provide the full confirmed teaching time because of Instructor delay, Ukiyo will provide appropriate additional teaching time, credit or another suitable educational solution.

10.3 Pool Closure or Operational Disruption

If Wodny Park closes, restricts access or another operational issue prevents the confirmed Reservation, Ukiyo will provide a no-fee New Reservation, credit or bank-transfer refund.

10.4 School-Proposed Change

Ukiyo will discuss a proposed alternative where reasonably possible. If the family declines and Ukiyo cannot provide the original confirmed Reservation, Ukiyo will offer a no-fee New Reservation, credit or bank-transfer refund, as appropriate.

11 Arrival, Safety & Conduct

11.1 Before Travelling

Before travelling to Wodny Park, the Account Holder should confirm that the Reservation appears in the Parent Portal, Payment is not overdue and the Student is fit to participate.

11.2 Pool Entry

Families should provide Ukiyo Swim School, the Student’s full name, Reservation time and Instructor name.

Wodny Park manages entry and wristbands under its own procedures. A parent assisting with changing may use the venue’s short assist-entry procedure; a parent remaining poolside must meet Wodny Park’s swimwear and entry-ticket requirements.

11.3 Lesson Times

Teaching begins and ends at the confirmed Reservation time. Late arrival does not extend the Reservation.

11.4 Health and Safety

Students must not attend with a contagious illness or where participation may be unsafe. Account Holders must advise Ukiyo of relevant medical changes.

Students must follow Instructor safety directions. Ukiyo may modify, pause or stop an activity where safety requires.

11.5 Conduct

Students, parents and guardians must behave safely and respectfully. Parents must not interrupt or coach during lessons unless asked by the Instructor. This does not prevent required parent participation in a Mums & Bubs lesson.

Unsafe or inappropriate behaviour may result in a warning, suspension of future Reservations or termination of this Agreement.

11.6 Photography and Recording

Photography or recording requires Ukiyo approval and must comply with Wodny Park rules. Families must not record another Student without appropriate permission.

12 Privacy, Legal & Contact

12.1 Privacy

Ukiyo processes personal information needed for Reservations, Student safety, Payments and legal business obligations in accordance with applicable law.

12.2 Marketing Images

Where required, Ukiyo will obtain separate consent before using a Student’s photograph or video for marketing. Consent may be withdrawn.

12.3 Governing Law

This Agreement is governed by the laws of the Republic of Poland. Nothing in it limits consumer rights that cannot lawfully be excluded.

12.4 Future Updates

Ukiyo may update these Terms for future Reservations. Reasonable notice will be provided where a change materially affects future Reservations.
