Terms and Conditions
Terms and conditions set out by Anthony Schulz Learn to Swim the Aussie Way, operating as Ukiyo Swim School, address Ul. Szymanowskiego 4/44, 03-477 Warszawa, NIP: 113 294 5175, hereby presents the following terms and conditions for its services:
Ukiyo Swim School conducts lessons at the following location:
Wodny Park - Official Partner
Dominika Merliniego 4, 02-511 Warszawa
Pool Entry Procedure:
Access to the facility is through the reception of Wodny Park.
Parents/students must register their attendance at reception by using iclasspro app or registered mobile number to receive an entry wristband to access the pool.
If the family changing room is required parents must request in advanced to reception that they require the family changing room.
Entry Ticket Inclusions:
Entry tickets are included in the lesson fee as follows:
30-minute and 45-minute private/group lessons include a 75-minute entry ticket.
15-minute trial lessons include a 45-minute entry ticket.
Baby lesson - 75 minute entry ticket for 1 parent/guardian attending.
Extra parent/guardian will be require to purchase an entry ticket.
Parent may change their child without being charged to enter the changing rooms.
A 20 minute wristband will be given.
Parents are requested to exit pool side via reception, failing to exit before the deadline, will result in a charge per minute thereafter.
Parents may re-enter the pool area to assist with their child's changing process without any time restrictions.
However, the student's entry ticket time will remain active until returned to reception.
Additional Charges:
Wodny Park charges 0.60zl per minute for time exceeding the allocated entry ticket duration.
Parents/students agree to any additional exit fees incurred upon leaving the pool.
Lesson Fee secures a time slot:
The lesson fee secures a time slot and not the lesson duration.
Parents/students commit to being punctual for the scheduled lesson and present at the poolside for pick-up afterward.
Enrolment Options:
Yearly Enrolment (Monthly Payment) - ensures a secured group place or private lesson time-slot each week.
Priority is accorded to parents/students enrolled in our yearly program.
Select Dates/Single Enrolment – means reserving 3 lessons or less within a calendar month.
Advance Reservation Requirement: All reservations for Ukiyo Swim School activities within Wodny Park must be made 7 days in advance. This policy is implemented to ensure seamless operation and efficient coordination among all partners collaborating within Wodny Park.
Operational Efficiency: The 7-day advance reservation requirement aims to optimise resource allocation, staffing, and customer experience within Ukiyo Swim School. By adhering to this policy, we enhance operational efficiency and deliver a superior learning environment for our students.
Partnership Coordination: This reservation policy fosters effective planning and coordination among Ukiyo Swim School and other partners operating within Wodny Park.
Payment Terms:
Yearly Enrolment: Payments due on or before the 28th of each month.
Single Reservations: Payment must be received on the day of reservation and or no less than 2 days prior to the scheduled lesson to receive our 10% early bird discount.
Late payment will equal the full fee.
Payment is accepted via iclasspro booking portal, Cash, Blik, Revolut.
For bank transfers please inform us at time of scheduling a lesson to request bank details.
We reserve the right to cancel a reservation if payment is not received by the deadline.
Fees for Private Lessons/Semi-Private Lessons:
Private Lesson Fee (1 to 1):
30 minutes:
Yearly Enrolment - Monthly payment: 184 zł per lesson
Single lesson*: 230 zł per lesson
45 minutes
Yearly Enrolment - Monthly payment: 232 zł per lesson
Single lesson*: 290 zł per lesson
Semi-private Lesson Fee (2 to 1):
30 minutes
Yearly Enrolment - Monthly Payment:132zł per student per lesson
Single lesson*:165 zł per student per lesson
45 minutes
Yearly Enrolment - Monthly Payment: 164 zł per student per lesson
Single lesson*: 205 zł per student per lesson
Rescheduling Policy for Yearly Enrolment Private Lessons:
Requests for rescheduling must be submitted at least 4 hours prior to the scheduled lesson or the lesson will be deemed as forfeited.
Rescheduled lessons must occur within 90 days on an alternate day.
Subsequent requests to reschedule the same lesson are accepted within the validation period of 90 days from the original scheduled date if notice is received no less than 72 hours prior to the rescheduled lesson.
Monthly payments must be kept current.
If the yearly enrolment is cancelled, any remaining lessons will be forfeited and unavailable to be completed even if the 90-day period has not expired.
Select Dates/Single Reservations Rescheduling Policy:
Requests for rescheduling must be submitted at least 4 hours prior to the scheduled lesson or the lesson will be deemed as forfeited.
Rescheduling Timeframe for selected dates:
Rescheduling of lessons must occur within 14 days of the original booking.
Rescheduling a lesson to the same day/time slot may not be available.
It is the responsibility of the student/parent to ensure the lesson is rescheduled to the next available time slot within the rescheduling time frame of 14 days or be deemed as forfeited.
Each lesson has a strict 1 offer to reschedule, any further request to reschedule will be denied and the lesson forfeited.
Semi-Private Lesson Policy:
Missed Semi-Private Lessons:
For yearly enrolments, the student who misses their semi-private lesson can schedule a makeup lesson as a private session within a 90-day validation period from the date of the missed lesson.
For students/parents who select specific dates, the makeup private lesson must be scheduled within a 14-day period from the date of the missed lesson.
Additional Fees** apply to both Yearly and selected dates and will be added once the private lesson make up has been scheduled and payment is required at the time of securing the time slot.
Missed Lessons with Notice from both students/parents:
If both students are unable to attend and notice has been given by both students/parents, our rescheduling policy for private reservations above will apply.
If one student is unable to attend the agreed rescheduled day/time slot, then that student/parent agrees to their fee being forfeited.
Missed Semi-private lesson with a sibling:
If a sibling misses a semi-private lesson and are enrolled in the yearly enrolment and payment is current, they can request to receive a 80 zł credit for a 30-minute lesson or a 97 zł credit for a 45-minute lesson to the following month only.
However, we recommend signing up for a private lesson, as progression is based on consistent practice to developing skills.
**Yearly enrolment Make-up Semi-private lesson as a private lesson:
The below fees apply to students who are not siblings.
Yearly enrolment:
30 minutes – 52 zł
45 minutes – 68 zł
Single enrolment/Chosen dates:
30 minutes – 65 zł
45 minutes – 85 zł
By not scheduling a private make up lesson, it is agreed the missed Semi-private lesson is forfeited, and no credit nor refund will be offered.
Group Lessons Terms and Conditions:
Group Lesson options and Fee's:
Yearly Enrolment: A secured spot within a group lesson, student will be automatically rolled over to the following month.
Monthly Payment: 500 zł - 400 zł per month– Based upon the number weeks within the calendar month.
Selected Dates/Single Place: 125 zł per lesson*
* Subjected to a 10% discount when payment is received no less than 2 days prior to the scheduled lesson.
Cancellation and Absences within a group lesson:
Group lessons have a no cancellation policy.
Yearly Enrolment students can forward a future absence, up to 4 hours prior to the scheduled lesson.
Forwarding a future absence does not warrant a credit to the following month.
Instead, upon reaching two absence lessons, students are eligible to claim a 1 private 30 minute lesson.
The parent/student must schedule the private lesson within 30 days from the date of the second lesson missed.
This offer is only valid with a current monthly payment.
If a student consistently misses two or more lessons per month, we will reach out to discuss changing to our selected date option.
Single date group reservation cancellation policy:
Single reservation has a no-cancellation policy, nor an offer of private lesson, nor refund policy upon payment.
Summer/Winter Holidays Policy:
Parents/Students intending to miss two or more consecutive lessons over the summer/winter breaks can apply for a payment break before the 28th of the calendar month.
A holding fee of 25 zł per intended missed lesson is required in advance, with a maximum of 4 lessons allowed during both summer and winter breaks.
If the break is longer than 4 weeks and the parent/student wishes to hold their place/time slot after the deadline, our holding fee will increase to 50 zł per lesson missed thereafter.
Failure to pay the holding fee indicates acknowledgment that the permanent time slot and/or group lesson place is not guaranteed upon return.
Lesson Transfer to a friend or family member:
Feel free to transfer a private lesson slot by having them sign up on our platform, we will register them for the requested transfer and if to a friend then they are required to make the payment.
Their payment confirms their agreement of our terms.
Your fee will be credited to your account for the following month only.
For group slots, the substitute must match the group's swimming skills.
Instructor Commitment:
At Ukiyo Swim School, we are committed to providing consistent and high-quality instruction to our students.
Our instructors are dedicated to teaching on a monthly basis to ensure continuity in learning.
Instructor Availability:
While our instructors strive to maintain their teaching schedule each month, unforeseen circumstances may arise that prevent them from teaching as planned.
In such instances, we will make every effort to notify you in advance of any changes to your scheduled instructor.
Change of Instructor:
In the unlikely event that your assigned instructor is unable to teach a scheduled lesson, we will endeavour to provide a suitable replacement instructor.
Our priority is to ensure that your swimming lessons continue as smoothly as possible, even in the absence of your regular instructor.
Doctor’s Certificate:
We reserve the right to request a doctor's certificate for any missed private/semi-private lessons or group place due to illness.
Failure to provide a doctor’s certificate upon request may result in any missed lessons being forfeited and may affect eligibility for a refund.
Extended Absences Due to Unforeseen Circumstances:
We understand that unexpected situations may arise, leading to prolonged breaks from swimming lessons.
An extended break is defined as missing more than 3 lessons within a calendar month.
If fewer than 3 future absences are anticipated, our rescheduling policy for yearly enrolment or selected dates will remain in effect.
For absences exceeding 3 lessons, we kindly ask for a doctor's certificate to support the postponement of lessons.
In such cases, we will credit any payments or postpone future payments accordingly.
We allow a grace period of up to 6 weeks for such circumstances.
If the absence needs to be extended beyond 6 weeks, our holding fee policy, as outlined in the Summer/Winter Holidays Policy section, may be implemented.
Code of Conduct:
Students and parents/guardians are expected to conduct themselves in a respectful and courteous manner while on the premises of Wodny Park.
Wodny Park has a strict rule of no parent/guardian on pool side during a lesson.
A 20-minute entry wrist band is given to a parent/guardian to ensure they exit through reception after dropping off the student to an Ukiyo instructor.
Disruptive behaviour, including but not limited to, verbal abuse, physical aggression, or harassment of staff or other students, will not be tolerated.
Failure to adhere to the code of conduct may result in the immediate suspension or termination of enrolment without refund.
Safety and Liability:
Ukiyo Swim School priorities the safety of its students and implements appropriate safety measures during lessons. Parents/guardians are responsible for ensuring that their child is physically and medically fit to participate in swimming lessons.
Ukiyo Swim School is not liable for any injuries, accidents, or damages that occur because of non-compliance with safety instructions or regulations.
Communication Channels:
The primary method of communication for scheduling, inquiries, or concerns is via email at enquiry@ukiyoswimschool.com.pl
Urgent matters may also be addressed by phone at +48 512 517 013 or directly to the staff member.
In-person meetings with instructors or staff members can be scheduled by appointment only.
Staff Qualifications:
All instructors and staff members at Ukiyo Swim School hold current certifications in lifeguarding, CPR, and first aid. Instructors possess relevant qualifications and experience in teaching swimming lessons to students of varying ages and skill levels.
Privacy Policy:
Ukiyo Swim School respects the privacy of its customers and adheres to all applicable data protection regulations. Personal information collected from customers is used solely for the purpose of administering swimming lessons and will not be shared with third parties without consent.
Updates to Terms and Conditions:
Ukiyo Swim School reserves the right to update these terms and conditions at any time without prior notice. Customers will be notified of any changes to the terms and conditions via email or through a notice posted on the Ukiyo Swim School website.
Feedback and Complaints Procedure:
Customers are encouraged to provide feedback, suggestions, or raise complaints regarding their experience at Ukiyo Swim School.
Feedback and complaints can be submitted in writing via email or letter and will be addressed promptly and professionally by management.
Additional Services:
Ukiyo Swim School offers morning adult sessions, intensive holiday programs.
Terms and conditions specific to these additional services or programs are available upon request and are subject to separate agreements.
Cancellation of Yearly Enrolment Policy:
Cancellation of yearly enrolments must be requested in writing via email or letter or text (+48 512 517 013) at least 7 days prior to the following months payment.
A cancellation fee of 50% will apply for cancellations made after payment has been received for the following month.
Refund Policy:
Refunds will only be issued under exceptional circumstances, such as if the swim school cancels a lesson or if a student withdraws due to documented medical reasons.
Refund requests must be submitted in writing via email or letter or text and will be reviewed on a case-by-case basis. Refunds, if approved, will be processed within 30 days from the date of the refund request.
A transfer fee may apply.
A transfer fee for card payments will be deducted as charged by iclasspro.
Payment Policy:
By making payment, you hereby acknowledge and agree to adhere to the terms and conditions set forth by Anthony Schulz Learn to Swim the Aussie Way, trading as Ukiyo Swim School, irrespective of whether you have fully reviewed the entirety of the Terms and Conditions. By submitting your payment, you are confirming your agreement to these terms.
