Ukiyo Swim School – Our Agreement to Attend Swimming Lessons

Welcome to Ukiyo Swim School.

Whether you discovered us online, saw our instructors in action at Wodny Park, or heard about us through a recommendation — we’re glad you’re here.

This agreement explains how things work: what you can expect from us, and what we kindly expect from you in return. It helps ensure smooth communication, consistent attendance, and steady swimming progress for every student.

    • The student’s full name

    • Lesson time

    • Instructor’s name

Entry Tickets & Pool Access

  • Private, Semi-Private, Group, Baby Lessons – 75 minutes total pool access

  • Assessment / Trial Lessons – 45 minutes total pool access

  • Parent/Support Exit Pass – 20 minutes (before lessons only, for changing assistance). No second pass is provided after the lesson.

  • Extra time – Charged at 0.60 PLN per minute by Wodny Park.

Our entry ticket agreement with Wodny Park includes only the student’s ticket. Parents of children aged 4 and under who wish to swim with their child must purchase their own entry ticket. This does not apply to designated “Mums & Bubs” group classes.

Parking Options

  • Above-ground: free for up to 3 hours with validation

  • Underground: hourly paid parking

  • Street: check local signs for restrictions/fees

Lesson Types

  • Private (1:1)

  • Semi-Private (2:1 – siblings or friends)

  • Group – Recreational pool: 3–4 students / Olympic pool: minimum 4, up to 12 depending on group level

  • Lesson Duration – 30 or 45 minutes

  • Assessment – 15-minute assessment + 30-minute pool entry (total 45 minutes)

Group lessons often grow from Private/Semi-Private slots when students invite friends of a similar age and swimming ability to join. We aim to keep groups consistent from month to month.

Booking Plans
1. Fixed Monthly Plan

  • Guaranteed same weekly day/time reserved

  • Packages (punch passes) are added to your iClassPro portal 7 days before the new month

  • Payment due by 6:00 PM on the last working weekday of the current month

  • Unpaid = place automatically released

  • Private/Semi: reschedules possible with makeup token

  • Group: guaranteed place, no reschedules/cancellations

  • Skipping a month = loss of your spot (unless during school holidays).

2. Pay-As-You-Go Plan

  • Valid when securing 3 or fewer lessons in a month

  • Purchase 1–8 lessons, valid for 28 days

  • Available via ProShop on registered accounts (Punch Pass)

  • Refunds only for unused/unbooked lessons within 14 days

  • Once booked = non-refundable

  • Private/Semi: reschedule allowed with minimum 48 hours’ notice (valid for 7 days)

  • Group: no reschedules or cancellations

Reschedules, Illness & Makeup Tokens

Private & Semi-Private:

  • 48+ hours’ notice = makeup token issued

  • Illness: notify us at least 2 hours before the lesson for a token

  • Tokens:

  • Valid until the end of the following month (Fixed Plan) or 7 days (Pay-As-You-Go)

  • Require continued monthly payment for Fixed Plan

  • Cannot be used for your original weekly slot

  • One-time use only — no further reschedules once rebooked

  • Not issued if the lesson was already paid with a token

  • Expire if you leave the swim school

While we value loyal students who rarely reschedule, we must honour our agreement equally. Allowing every late request would affect the swim school’s stability and the wider community.

Semi-Private:

  • If one student is absent, the other receives a private lesson

  • The absent student may:

  • Request a private makeup token (additional cost)

  • Join a scheduled group lesson

Group Lessons:

  • No reschedules, cancellations, or makeups

  • Early illness notice is appreciated, but lessons cannot be replaced

  • Regular absence or no communication may result in losing your place

Instructor Absence

  • We arrange a substitute when possible

  • If not, a lesson credit will be issued

  • Pool entry remains valid during the scheduled time

Late Arrival

  • Group: more than 10 minutes late = cannot join (you may still use the entry ticket for free swim)

  • Private/Semi: join for remaining time only

  • Lessons are not extended for lateness

Payments & Refunds

  • Payment confirms your place — if unpaid by the deadline, the slot is released.

Invoices (Personal and/or Business with NIP):

Invoices are issued only upon written email request. A new request must be made for each payment if you require a personal or business invoice with NIP. If no written request is received, no invoice will be issued or forwarded.

Refund Summary:

  • Fixed Monthly Plan: Refund available before the month starts (EU 14-day rule). None once active.

  • Pay-As-You-Go: Refund for unused/unbooked lessons within 14 days.

  • Group Lessons: No refunds.

All refunds are subject to a 25 PLN deduction, which is charged by the iClassPro portal and taken directly from the refunded amount.

Medical cases may be credited, not refunded.

What to Bring

  • Proper swimwear (no board shorts)

  • Swim cap (required for long hair)

  • Goggles

  • Towel + flip-flops

  • Babies: disposable + reusable swim nappy

  • No outdoor shoes beyond reception

iClassPro Parent Portal

  • Reserve time slots (staff approval required before fees are added)

  • Pay for lessons / purchase punch passes

  • Submit absences or reschedule requests

  • Track progress

  • All payments: BLIK, Revolut, card, transfer, or cash envelope

  • Find a class easily by filtering time, level, or instructor name.

Communication

  • Please use email or the iClassPro portal for all absence and reschedule requests

  • Instructors cannot manage admin during poolside teaching

Shared Commitment

  • Booking = agreement to these terms

  • Instructor time is reserved whether or not you attend

  • Repeated absence or violation of policies may result in loss of your place

  • Our policies protect instructors’ time, ensure fairness, and provide a stable learning environment

Data Privacy & GDPR

  • Ukiyo Swim School complies with EU GDPR regulations.

  • Data is securely stored in iClassPro

  • Used only for registration, communication, and attendance

  • Never shared or sold

  • You can request access, correction, or deletion anytime

  • Deletion of an iClassPro account is granted after final payments are completed (up to 3 weeks post-payment)
