These Terms apply to all Reservations with Ukiyo Swim School.

1. Lesson Types

1.1 Private

A Private Reservation is for one named Student.

The Account Holder chooses a lesson duration of 30 or 45 minutes, subject to suitable availability.

1.2 Semi-Private

A Semi-Private Reservation is for two named Students of a suitable level.

Both Students reserve the same date, time and duration.

The Account Holder chooses a lesson duration of 30 or 45 minutes, subject to suitable availability.

For Weekly Advance, both Students commit to the same regular weekly schedule.

If one Student is absent, the other Student may attend alone. The Reservation remains Semi-Private.

If one Student uses a Holding Reservation, the other Student may reserve that date separately as a Private Reservation at the applicable Weekly Advance Private rate. This must be agreed before the month begins.

1.3 Group

A Group is created when at least three suitable Students commit to the same planned Group.

Ukiyo assigns Group placement according to the Student’s swimming knowledge, safety and development.

Ukiyo sets the Group lesson duration according to the Group’s level and learning requirements. Group duration is not chosen or negotiated by the Account Holder.

If a suitable Group cannot be formed, Ukiyo will offer another suitable learning pathway.

2. Reservation Options

Choose Weekly Advance or Selected Date.

2.1 Weekly Advance

Weekly Advance reserves the same day and time exclusively for the named Student every week, month to month.

Weekly Advance is available for Private, Semi-Private and Group Reservations.

Each weekly date is a separate Reservation with its own Reservation Fee.

Starting Weekly Advance

An Account Holder may request an available regular weekly day and time.

Ukiyo reviews the Student’s suitability, lesson type, duration and available schedule before approving the request.

Weekly Advance begins only after:

  • Ukiyo approves the regular weekly place;

  • the required payment is received; and

  • the Student is shown as Active in the Main Account Holder’s Parent Portal.

When Weekly Advance begins during a month, the Account Holder pays only for the remaining available weekly dates in that month.

Once Active, the Student is automatically included in every available occurrence of the same regular day and time, month to month, until the Account Holder submits a Drop under Section 5.1.

2.2 Selected Date

Selected Date reserves one individual date and time from suitable remaining availability in the current month.

Selected-Date availability opens from the 1st after Weekly Advance planning is complete.

A Selected-Date Reservation does not provide a regular weekly place or priority for the following month.

Submit a Selected-Date request at least 48 hours before the requested attendance.

3. Confirmation and Payment

A Reservation is confirmed only when:

  • Ukiyo has approved the requested Reservation;

  • the required payment has been received; and

  • the Reservation is shown as Active in the Main Account Holder’s Parent Portal.

Waitlist means the place is not reserved.

Active means the place is confirmed and secured.

A message, request, proposed time or payment screenshot does not confirm a Reservation.

Check the Main Account Holder’s Parent Portal before travelling to Wodny Park. If the Reservation is not shown as Active, the Student is not scheduled to attend.

Payment is required before attendance.

Weekly Advance payment is due by 17:00 on the 1st unless another arrangement has been agreed directly with Ukiyo. An unpaid place may be released after this deadline.

Selected-Date payment is required when the Reservation is made.

Cash payment on arrival is available only when agreed directly with Ukiyo in advance. An intention to pay on arrival does not confirm a Reservation.

The applicable fees are published on Ukiyo’s Fees page.

4. What a Reservation Secures

Each Reservation Fee secures one named Student’s place in the teaching schedule for the confirmed lesson type, date, time and duration. Ukiyo commits the required Instructor time and pool teaching capacity to provide that Reservation. The Reservation Fee is payable whether or not the Student attends.

Once Active, the Student, date, time, lesson type, duration and Reservation Fee are fixed.

Except for an approved Private Student Substitution under Section 10, an Active Reservation cannot be moved, transferred or converted into credit.

A different date or time requires a separate new Reservation.

5. Weekly Advance Monthly Planning

Weekly Advance reserves the same regular day and time exclusively for the named Student, month to month.

Once the Student is added to the Weekly Advance class, every available weekly occurrence of that regular day and time is automatically included in the Student’s schedule.

The arrangement continues indefinitely until the Account Holder submits a Drop by 17:00 on the 23rd for the following month.

The monthly fee reflects the number of available weekly occurrences in that month.

From the 1st, the monthly schedule is fixed.

Ukiyo recommends keeping and paying for the complete monthly schedule, including any date the Student is known to be absent. The Account Holder may then request the applicable Continued Learning option under Section 8.

If the Account Holder does not want to keep a regular Reservation for a known absence, they may request a Holding Reservation under Section 6.2 by 17:00 on the 23rd.

5.1 Dropping Weekly Advance

Submit a Drop by 17:00 on the 23rd to end the complete Weekly Advance arrangement for the following month.

A Drop:

  • applies to the whole following month;

  • cannot remove one individual date;

  • does not change any current-month Reservation; and

  • does not retain priority for the same weekly day and time in the following month or any future month thereafter.

6. Known Absence: Choose One Pathway

Inform Ukiyo of the absence date and choose one of the following pathways.

6.1 Keep the Weekly Advance Reservation

Pay for the complete Weekly Advance month, including the absence date.

Inform Ukiyo of the intended absence before the month begins.

From the 1st of the affected month, once the monthly schedule has been planned and suitable availability is known, choose and request the applicable Continued Learning option under Section 8.

Submit the request at least 48 hours before the requested Continued Learning Reservation. You do not need to wait until the original Reservation date has passed.

The original Reservation remains used and payable.

6.2 Use a Holding Reservation

Use a Holding Reservation when another Reservation is not wanted and/or the Account Holder does not want to use a Continued Learning option for the affected date.

Submit the request by 17:00 on the 23rd for a known absence in the following month.

Holding Reservation Fees are:

  • Private: 50 PLN per held date;

  • Group: 50 PLN per held date;

  • Semi-Private, one Student holding: 50 PLN for that Student; or

  • Semi-Private, both Students holding the same date: 25 PLN per Student.

A Holding Reservation:

  • removes the date from the Student’s attendance schedule;

  • allows Ukiyo to offer the released date to another Student; and

  • retains the Student’s priority for the regular day and time when the next month is planned.

A Holding Reservation does not include attendance, Continued Learning, credit or payment toward another Reservation.

If plans later change, request a new Selected-Date Reservation. Suitable availability is not guaranteed.

The new Reservation is charged at the full Selected-Date rate.

The Holding Fee is not refunded, transferred, credited or deducted from the Selected-Date Fee.

6.3 Public Holidays and Planned Breaks

When Wodny Park is open and Ukiyo is providing lessons, public holidays and planned winter or summer breaks remain part of the Weekly Advance monthly schedule.

For a known absence, the Account Holder may:

  • keep the paid Weekly Advance Reservation and request the applicable Continued Learning option;

  • request a Holding Reservation by 17:00 on the 23rd if Continued Learning is not wanted; or

  • submit a Drop by 17:00 on the 23rd to end the complete Weekly Advance arrangement for the following month.

A Drop removes the Student from the complete following-month schedule and does not retain priority for the same weekly day and time in that month or any future month.

If Wodny Park is closed or Ukiyo cannot provide the Reservation, Section 11 applies.

7. Student Absence

Inform Ukiyo when a Student cannot attend an Active Reservation.
Once an absence is recorded, the Student’s place for that date and time becomes available. Ukiyo may allow another suitable Student to reserve and attend that time. This does not cancel, move or credit the absent Student’s original Reservation, which remains used and payable.

All Student absences are treated under the same rules, including illness, emergencies, family events, travel and changes in personal plans.

Illness and unexpected life events may be outside the family’s control. They do not change the Active Reservation, for which the teaching place and Instructor’s time have already been reserved.

The original Reservation remains used and payable.

Notice of absence does not create a cancellation, reschedule, transfer, credit, refund or make-up lesson.

An absence does not create an open-ended right to another Reservation when the Student is ready to return.

To continue learning after an absence, request an applicable Continued Learning option under Section 8 within the stated request period. Continued Learning remains subject to suitable availability and confirmation as Active in the Main Account Holder’s Parent Portal.

Ukiyo may offer the unused place to another suitable Student.

8. Continued Learning

Continued Learning is a separate new Reservation connected with an absence.

For an intended absence, request Continued Learning from the 1st of the affected month, once the monthly schedule has been planned and suitable availability is known. The new Reservation may take place before the affected Reservation.

For an absence that becomes known during the month, request Continued Learning when informing Ukiyo or within 14 calendar days beginning on the day after the affected Reservation.

The new Reservation must:

  • be requested and take place no later than 14 calendar days after the affected Reservation.

  • be requested at least 48 hours before the requested attendance;

  • be available and suitable for the Student; and

  • be shown as Active in the Main Account Holder’s Parent Portal before attendance.

Continued Learning is not automatic. The original Reservation does not move.

Each affected Reservation provides one Continued Learning option only.

Once the Continued Learning Reservation is shown as Active, the choice is final. If the Student does not attend it, the Continued Learning Reservation remains used and cannot be moved, repeated or used to request another Continued Learning Reservation.

8.1 Weekly Advance Private

Choose one:

  • same-level Group: no additional fee; or

  • new Private Reservation: 50 PLN.

8.2 Weekly Advance Semi-Private

Each absent Student may choose one applicable option:

  • same-level Group: no additional fee;

  • one Student absent, new Semi-Private Reservation: 75 PLN for that Student;

  • both Students absent, new Semi-Private Reservation together: 100 PLN total, 50 PLN per Student; or

  • new Private Reservation: 100 PLN per Student.

A new Semi-Private Reservation requires another suitable Student and suitable availability.

8.3 Weekly Advance Group

Choose one:

  • same-level Group: no additional fee; or

  • if no suitable Group is available, new Private Reservation: 100 PLN.

The Group-to-Private option may be used once per calendar month.

8.4 Selected-Date Private

Choose one:

  • same-level Group: no additional fee; or

  • new Private Reservation: 100 PLN.

8.5 Selected-Date Semi-Private

Each absent Student may choose one applicable option:

  • same-level Group: no additional fee;

  • one Student absent, new Private Reservation: 100 PLN;

  • both Students absent, new Semi-Private Reservation together: 150 PLN total, 75 PLN per Student; or

  • both Students absent, new Private Reservation: 100 PLN per Student.

8.6 Selected-Date Group

Choose one:

  • same-level Group: no additional fee; or

  • new Private Reservation: 100 PLN.

9. Assessment and Learning Pathway

Ukiyo may require an Assessment before placing a new Student in a Group.

The Assessment Fee is 100 PLN.

The Assessment must be paid and shown as Active before attendance.

If the Student joins a Weekly Advance Group within 30 days, 50 PLN is credited toward the first Weekly Advance Group Reservation Fee.

This credit is not refundable or transferable and cannot be used for Private, Semi-Private or Selected-Date Reservations.

10. Private Student Substitution

Submit a substitution request at least 24 hours before attendance.

The replacement Student must be suitable and approved by Ukiyo.

The substitution is valid only after Ukiyo confirms it.

11. When Ukiyo Cannot Provide a Reservation

If Ukiyo cannot provide an Active Reservation because of Instructor absence, pool closure or another Ukiyo-related reason, Ukiyo will offer a suitable new Reservation at no additional fee.

If Ukiyo cannot provide a suitable new Reservation, Ukiyo will provide a bank-transfer refund for the affected Reservation.

Ukiyo may assign another suitable Instructor. A named Instructor is not guaranteed.

12. Attendance at Wodny Park

Teaching starts and finishes at the time shown in the Parent Portal.

Late arrival does not extend the lesson.

Each Active Reservation includes a 75-minute Student entry ticket:

  • 30-minute lesson: 30 minutes teaching and 45 minutes for entry, changing and exit;

  • 45-minute lesson: 45 minutes teaching and 30 minutes for entry, changing and exit.

Wodny Park may charge an exit fee when the permitted time is exceeded.

A Parent assisting a child before the lesson may receive a 20-minute changing-assistance wristband. This wristband is not issued for collection after the lesson.

For entry, provide reception with:

  1. Ukiyo Swim School;

  2. the Reservation time;

  3. the Instructor’s name; and

  4. the Student’s full name.

Reception provides venue entry only. Reception cannot create, change or confirm a Reservation.

13. Safety and Behaviour

Do not attend when the Student has a contagious illness or swimming would be unsafe.

Tell Ukiyo about any medical condition or change that may affect safe participation.

Students and accompanying adults must follow Instructor safety directions and behave safely and respectfully.

Unsafe, seriously disruptive or inappropriate behaviour may result in a warning, suspension or termination of future Reservations.

14. Intensive Courses

An Intensive Course contains five Reservations on five consecutive calendar dates.

The complete five-day schedule is fixed once Active.

A Student absence does not move, transfer, credit or replace an Intensive Course Reservation.

Continued Learning does not apply to Intensive Courses.

If Ukiyo cannot provide an Intensive Course Reservation, Section 11 applies.

15. Communication

Communication hours are 09:00–17:00.

A message received after 17:00 is treated as received at 09:00 the following day.

Where 48 hours’ notice is required, the full 48 hours is measured backwards from the requested Reservation start time.

16. Privacy

Ukiyo processes personal information required for Reservations, payment, Student safety, communication and legal obligations in accordance with applicable data-protection law.

Separate consent will be requested where required for photographs or videos used for marketing.

17. Polish Law and Consumer Rights

These Terms are governed by the laws of the Republic of Poland.

Nothing in these Terms limits mandatory rights under Polish or European consumer law.

18. Updates to These Terms

Ukiyo may update these Terms for future Reservations and will provide reasonable notice of material changes.

An update does not change an existing Active Reservation unless required by law or agreed with the Account Holder.
