Ukiyo Swim School – Quick Agreement

Our commitment to each other

By making payment and/or attending lessons, you acknowledge and agree to the terms of this Quick Agreement and our Full Agreement. Payment confirms your acceptance, in line with EU consumer law for services.

1. Secured Time Slots

  • Students attending weekly lessons on a Fixed Monthly Plan always have priority.

  • The student’s time slot or group place is guaranteed each month as long as the plan continues.

  • Skipping a month means the slot may be released to another student (except during school holidays).

  • Switching to Pay-As-You-Go may mean losing your preferred time.

2. How Our Lessons Work

  • We teach month to month, not by school term.

  • Lessons run 7 days a week, from 6:30am to 9:00pm.

  • Instructors set their schedules in iClassPro, which stay fixed for the month to ensure consistency.

  • We mainly offer Private and Semi-Private lessons.

  • We also provide Group lessons. Many groups are formed when students in private or semi-private lessons invite friends of similar age and ability to join their secured time slot.

  • Once created, groups are intended to remain consistent month to month.

3. Assessment & First Lesson

  • 15-Minute Assessment: A short in-water check to place the student at the right level.

  • Or, choose a full 30-minute paid lesson straight away.

  • We do not offer free 30-minute trial lessons — all lessons are either assessed or paid.

4. Lesson Types

  • Private (1 student)

  • Semi-Private (2 students)

  • Group Lessons:

    • Recreational pool = maximum 4 students

    • Olympic pool = minimum 4 students, up to 12 students (depending on the group level)

  • Lesson duration: 30 or 45 minutes

5. Pool Entry & Parents

  • Student entry is always included in the lesson fee.

  • Pool entry = 75 minutes (or 45 minutes for an assessment).

  • Parents may receive a 20-minute wristband before the lesson only to assist with changing.

  • A second wristband is not given after the lesson.

  • For students aged 4 and under, parents must purchase their own entry ticket if they wish to swim.

  • Exception: Parent entry is included in “Mums & Bubs” classes.

  • Extra pool time beyond the ticket limit will be charged at 0.60 PLN per minute.

6. Payment & Booking

  • Payment is required in advance. No payment = no reservation.

  • Fixed Monthly Plan: Weekly time slot reserved for the month.

  • Pay-As-You-Go: The rate applies when securing 3 or fewer dates within a month.

  • We encourage you to purchase punch passes via your online portal in our ProShop.

  • Punch passes are valid for 28 days.

  • Each punch pass = single lesson attendance.

  • Payment deadline: by the last weekday of each month to continue.

7. Cancellations & Makeup Tokens

  • Private & Semi-Private:

  • Illness: Notify us at least 2 hours before the lesson to receive a makeup token.

  • Planned changes: Reschedule requests are accepted only with minimum 48 hours’ notice.

  • Personal commitments (birthday parties, school events, travel, or other activities) are not valid reasons for rescheduling after the 48-hour deadline.

Validity:

  • Fixed Monthly Plan → tokens valid until the end of the following month, only if you continue monthly payments.

  • Pay-As-You-Go → tokens valid for 7 days from the missed lesson.

Group lessons:

  • No makeups, cancellations, or reschedules.

  • Group lessons are a shared commitment — missing due to other activities does not entitle the student to a replacement lesson.

8. Refunds

  • Monthly Plan: Refund only before the month starts (EU 14-day rule applies before services begin).

  • Pay-As-You-Go: Refund only if unused/unbooked within 14 days.

  • Group: No refunds — payment secures your place.

  • All refunds are subject to a 25 PLN deduction, which is the processing fee charged by the iClassPro portal and taken directly from the refunded amount.

  • Medical cases may be credited, not refunded.

9. Instructor Absence

We will arrange a substitute teacher whenever possible.

If not, a lesson credit will be issued.

Pool entry remains available during the scheduled time.

10. Attendance

  • Regular attendance is important for progress and group consistency.

  • Repeated absences without notice may result in the student’s place being offered to another participant.

  • Please notify us promptly if the student cannot attend due to illness.

  • Late arrival:

  • Group lessons: More than 10 minutes late = cannot join the group, but you may still swim using our pool entry ticket.

  • Private/Semi-Private lessons: You may join for the remaining time, but lessons are not extended.

11. What to Bring

  • Proper swimwear (no board shorts)

  • Swim cap (required if long hair)

  • Goggles, towel, flip-flops

  • Babies: disposable + reusable swim nappy

12. iClassPro Reservation System

  • Log in and click “Find a Class”

  • Use filters (instructor, day, time, lesson type)

  • Reserve a place or time slot — requests are reviewed by staff

  • Fees are added to your portal after staff approval of the reservation

  • Track progress, request changes, purchase punch passes
